Event QR Codes
Event QR codes let attendees add your event to their calendar with one scan. When someone scans, their phone opens the calendar app with all event details pre-filled. They just tap “Add to Calendar” and it’s done.
What You Can Include
Section titled “What You Can Include”- Event name — title of the event (required)
- Start date and time — when it begins (required)
- End date and time — when it ends (required)
- Location — venue address or virtual meeting link
- Description — event details, agenda, or notes (optional)
The Form
Section titled “The Form”Enter the event name, pick the start and end dates and times (use your local timezone), then optionally add a location and description. The description is great for agenda items, parking info, or links to more details.
Key Features
Section titled “Key Features”Standard iCal format works on all calendar apps — Apple Calendar, Google Calendar, Outlook, Samsung Calendar, and more. After scanning, the event syncs across all the user’s devices automatically. No signup or account needed.
Pro Tips
Section titled “Pro Tips”- Be accurate with times — include AM/PM and timezone, or use 24-hour format. Ambiguous times lead to no-shows.
- Location is valuable — include the full address so attendees can see directions immediately. For virtual events, include the Zoom/Teams link.
- Short, clear title — “Tech Conference 2025” is better than “You Are Cordially Invited to Our Annual Showcase.”
- Useful descriptions — mention parking, what to bring, agenda highlights, or a link to more info. Avoid walls of text.
- Print with context — add nearby text like “Add to your calendar” so users know the action.
- Multiple QR codes? — if you have a multi-day event, create separate codes for each day so attendees can choose which sessions to add.
- Update before sharing widely — once the QR code is printed or distributed, date and time changes require a new code. Edit carefully during planning.
Common Use Cases
Section titled “Common Use Cases”Print event codes on conference programs so attendees add sessions to their calendars. Include in email invitations for easy calendar adds. Display on event posters to drive calendar signups. Add to trade show booth materials for appointment scheduling. Print on product launch announcements. Use in church bulletins or community center programs for event promotion.
Troubleshooting
Section titled “Troubleshooting”Calendar app not opening? — Some Android phones need a specific calendar app installed. Try scanning again with a different app, or provide a fallback URL code to a calendar link.
Time zone issues? — If your event spans multiple time zones, specify the time zone clearly in the description (e.g., “3pm EST”).
Links in description — If you include a website link in the description, format it as https://example.com so it’s clickable after adding the event.
Virtual Events
Section titled “Virtual Events”For Zoom or Teams meetings, put the full join link in the location field. Example: https://zoom.us/j/123456789. Attendees can click it directly from their calendar.
